IDEX Executive Assistant in Westwood, Massachusetts

Position Summary:

We are seeking an Executive Assistant to provide high-level administrative support to the President and the Leadership Team. The ideal candidate will be organized, detail-oriented and able to handle a variety of tasks efficiently while playing a crucial role in supporting our day-to-day operations. This position operates as a hybrid with three days in office and two days remote from our Westwood, MA site.

Reports To : President, Material Processing Technologies

Essential Functions:

Position requirements include, but are not limited to:

  • Manage executives’ calendars, including scheduling meetings, appointments, team gatherings to ensure optimal time management.

  • May be required to attend meetings and take comprehensive notes and issue clear actions items. Follow up on these items to ensure timely completion.

  • Provide general administrative support, including handling correspondence, managing documents (both paper and electronic files), (eg., room bookings, scheduling, agenda and reports, compiling information and action items, minutes)

  • Organize and book travel arrangements across the globe.

  • Answer phone calls and respond to emails in a professional manner.

  • Assist with special projects as assigned.

  • Other duties, as assigned.

Qualifications: To perform this job successfully, an individual must be able to perform each essential function satisfactorily. Education and/or Experience:

  • High school diploma; associate degree preferred.

  • 10 years proven experience as an executive assistant or in a related role

Language Skills:

  • English

Computer Skills:

  • Advanced in Microsoft Office Suite (Word, Excel, PowerPoint)

  • Proficiency with Zoom and Teams

Other Qualifications:

  • Strong organizational and time-management skills

  • Excellent verbal and written communication abilities to liaise with internal staff, third parties and others to obtain and coordinate information and related processes.

  • Ability to participate as an effective team members

  • Ability to maintain confidentiality and discretion regarding sensitive information.

  • Ability to work independently

  • Ability to be flexible and to adapt to changes in priority or direction.
