** This position is ON-SITE M-F in Cedar Falls, IA

PRIMARY FUNCTION:

Coordinates the processing of warranty and policy claims, repair orders and return products, including related invoicing, credit or repair activities. Interacts with Viking Pump internal personnel, distributors, OEM's, Customer Service Centers and field sales personnel worldwide to facilitate the expedient and accurate processing of Return Authorizations.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Handles direct customer contact via phone and e-mail, associated with processing and issuing of Return Authorizations: communicates company policies, repair quotations, serial number inquiries, stock return amounts and credit memos; coordinates with the field sales organization to ensure complete and/or correct information is contained on Return Authorizations.

  • Issues Return Authorizations for other circumstances as required.

  • Reviews results of inspection process against requirements, as shown on the Return Authorization. Determines appropriate action, including quotation, repair of product and/or issuance of credit.

  • Approves the processing of Warranty Return Authorizations, subject to pertinent expenditure authorization limits. Refers claims exceeding authorized limits to appropriate personnel.

  • Communicates warranty / policy decisions with explanation to the field sales organization.

  • Initiates appropriate actions to meet customer requirements, including calculation and communication of repair quotations, coordination regarding component availability for Warranty/Repairs with Production Control and Purchasing, expediting of Work Orders regarding Repairs, coordination of manufacturing work orders and all repair activities with Manufacturing via the ERP system, issuance of credit with Accounting.

  • Assigns warranty / policy fault codes and calculates costing of warranty and policy claims.

  • Maintains the approval of Return Authorizations through the Viking Connect (Internet RA system)

  • Coordinates the metallurgical evaluation of field sales and customer returns with the Metallurgical lab.

  • Monitors past due RA invoices, edits invoices for accuracy, generates shipping papers for RA invoices.

  • Maintains warranty database files through Inspection, Disposition, Repair, and Return of product to customer and/or credit.

  • Maintains the files for Warranty / Policy Return Authorizations open/closed along with RA historical files for ISO requirements.

  • Monitors status, location, and delays on open Return Authorization files with continuous follow up concerning field offices, distributors and / or customers to ensure expedient processing of Returns.

  • Submits weekly reports on RA activities and open RA’s duties and responsibilities for Warranty RA processing.

  • Performs other duties as assigned.

EDUCATION AND/OR EXPERIENCE REQUIREMENTS:

  • High School diploma or equivalent.

  • Experience in a technical area of the company, preferably in Production Control, Customer Service, Sales or Engineering preferred

OTHER SPECIAL REQUIREMENTS

  • Basic knowledge of product line, materials of construction and part numbering systems.

  • Good understanding of internal product flow.

  • Able to solve problems and comprehend quickly in pressure and expedite situations.

  • Understanding of Viking Pump internal and external customer relationships.

COMPUTER SKILLS:

  • Proficient with Microsoft Office products including, but not limited to, Word, Excel, PowerPoint and Outlook.

WORK ENVIRONMENT REQUIREMENTS:

  • Ability to move within office and manufacturing complex, write by hand and keyboard, and perform general office functions.

  • Ability to communicate by speech and hearing via phone and in person.

  • Visual acuity needed for close detail work and computer use.

  • General manufacturing, warehouse and office environment.

ORGANIZATIONAL RELATIONSHIPS:

  • Must have the ability to effectively communicate with customers, suppliers and all levels of corporate and company personnel.

  • Communicates directly and indirectly with Engineering, Production Control, Purchasing, Manufacturing, Field Sales (worldwide), Customers (worldwide) and Distributors (worldwide).

  • Includes direct communication with the field offices, customers and distributors.
